IT Hardware, Software and Service RFP

Looking to see how you structure an RFP for IT Hardware from a reseller like CDW, Connections, etc. We use HP as our Standard, and our current vendor provides install of Ergotrons, and some other peripheral stuff. How do you deal with products that expire in an IT environment?
